This document explains how we process personal data of visitors to CottonCloud.sk, customers, customer-account users and people who contact us through a form, e-mail, chat or order.

What data we process

• contact details, especially name, e-mail, phone number or company, if you voluntarily send them,
• billing details needed for an order, licence or accounting document,
• technical data about a website, URL, domain, plugin version, licence, order or support ticket,
• communication history from forms, e-mails, the customer account or chat,
• technical logs needed for security, diagnostics, delivery and abuse prevention.

Why we process data

• to answer an enquiry, prepare a quotation or provide support,
• to process an order, payment, licence, billing and delivery of a digital product,
• to resolve technical errors, security incidents, complaints and diagnostics,
• to meet statutory accounting, tax and archiving obligations,
• to protect the website, customer account, licence system and our services against spam or abuse,
• to send marketing communication only where there is a legal basis or consent.

Legal basis for processing

We process data mainly on the basis of pre-contract communication and contract performance, a legal obligation, a legitimate interest in service security and support, or consent where consent is required.

Who may access data

Data may be accessed by authorised people and suppliers who help with hosting, e-mail, payments, billing, analytics, security, SMS or customer support. We choose suppliers so that they process data only to the necessary extent and according to appropriate security rules.

Retention period

We keep data only for the time needed to handle an enquiry, provide a service, support, licence, complaint, security or statutory obligations. Accounting and billing documents are kept for the period required by law.

Cookies and analytics

The website may use technical cookies needed for page operation, forms, security, login or the customer account. We use analytics or marketing tools according to the current website settings and according to whether consent is required for the given processing.

Your rights

As a data subject you may request access to personal data, rectification, erasure, restriction of processing, data portability or object to processing where this follows from applicable data-protection rules. If processing is based on consent, you may withdraw that consent.

Security recommendation

Do not send passwords, API keys, administration access, database exports or other sensitive data through public chat, a standard contact form or e-mail unless we have agreed in advance on a secure handover method.
